Cosmetic Merchandiser

The ideal candidate for this position will excel if they can work in a high-pressure environment supporting the CEO of the company. The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the operations of the organization run smoothly. Thus, the candidate should be detail oriented and a creative problem solver.

Job Purpose:
Assist the CEO in the effective and efficient management and administration of two (2) locations in accordance with the systems approach to management. Oversee the administrative staff, record maintenance, retrieval, and overall needs of the organization in an efficient manner.

Essential Duties and
Responsibilities:

  • Assist the CEO in systematic management of the continuous process of change management.
  • Assist the CEO in stimulating and evolving an atmosphere for creative thinking among Directors and staff, focusing on quality services, client care, and proactive organizational productivity.
  • Review, revise and update the organization's policies, operations, and procedures manual by coordinating and taking minutes during the Compliance Meeting.
  • Manage and oversee facilities N.J. State Department of Health licenses, DEA, CDS, and CARF licenses and accreditation.
  • Interview, hire, train and supervise administrative staff.
  • Set performance goals and objectives for the Administrative department.
  • Manage client grievance investigations by scheduling appointments to meet with the Clinical Services and formulate written reports to D.C.S.
  • Responsible for the maintenance and operation of telephones, copiers, facsimile machines, and postage meters.
  • Board of Trustees meeting coordination.
  • Schedule conditional use hearings and variance hearings before the Newark Planning Board and Newark Zoning Board.
  • Create and draft letters, emails, etc. as requested.
  • Manage CEO s calendar and phone messages as required.
  • Maintain confidential and sensitive documents for the CEO and Finance Department.
  • Assist CEO with grant preparation. Ensure that all concerned staff members and consultants receive copies of necessary grant applications, reports, and correspondence.
  • Type, copy, and prepare all annual, monthly, and quarterly proposals, reports, vouchers, and modifications for grants.
  • Order equipment and supplies needed for the CEO on a monthly and as-needed basis.
  • Manage and oversee the courier system between site locations that runs properly.
  • Receive, open, and stamp all incoming postal mail and distribute.
  • Maintain, edit, and revise all linkage agreements upon request or renewal date.
  • Prepare, create, and maintain computer-generated organization documents for all departments using Google & Microsoft Suite.
  • Perform additional duties as assigned.

Required
Qualifications:

  • 3 years of high-level Executive, C-Management support (preferred), or 5 years of Executive Assistant support.
  • 2 years of people management experience.
  • Undergraduate degree in Business, Finance, or Public Administration
  • Strong computer skills:
    Proficient in Microsoft and Google Office suite.
  • Ability to read, writes, and communicates effectively.
Estimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
